Blue Herol Travel Agency Booking Terms & Conditions

Please carefully review the following booking conditions as they establish the contractual agreement between you and Blue Herol Travel Agency. Kindly note that we act as booking agents for various suppliers, and bookings for their services will form direct contracts between you and the relevant supplier, subject to their standard terms and conditions. A copy of the Terms and Conditions is available upon request.

  1. Booking and Payments Bookings are confirmed upon receipt of a non-refundable deposit (minimum 25% of the total land price) and full payment for the airfare within 72 hours of confirmation. For domestic bookings, airfare payment must be made within 24 hours of confirmation. The balance of the travel cost must be paid at least six weeks before departure or immediately for bookings made within 6 weeks of departure. Failure to pay on time will result in automatic cancellation of the booking.
  2. Price Changes and Surcharges Currency fluctuations and cost changes in transportation may lead to surcharges until full payment is received. Peak season surcharges and block-out dates may apply. Airfares are subject to the prices quoted by the airlines and may change before final payment.
  3. Methods of Payment We accept payments via credit cards (Visa or Mastercard) through our secure online Virtual Card Services (VCS) payment portals, as well as cash or EFT transfers with proof of payment.
  4. Insurance We strongly advise all clients to obtain adequate travel insurance, covering various aspects such as cancellations, accidents, baggage, and more. It is the client’s responsibility to verify the extent of coverage provided by their credit card company.
  5. Flight and Travel Timings Flight timings are estimates and subject to various factors. Reconfirmation of flights must be done at least 72 hours before departure.
  6. Documents Travel documents are prepared upon receipt of full payment, signed Booking Form, and Indemnity Form. Check all details before departure, as inaccuracies may result in delays or loss during the trip.
  7. Unscheduled Extensions Blue Herol Travel Agency is not liable for unscheduled extensions due to circumstances beyond our control, and related expenses will be the client’s responsibility.
  8. Changes and Cancellations Requests for changes will be accommodated where possible, subject to supplier charges. After departure, additional expenses from changes are for the passenger’s account. Cancellations are subject to applicable charges.
  9. Our Right to Change Travel Arrangements We reserve the right to make changes to travel arrangements when necessary. Blue Herol Travel Agency accepts no liability for cancellations by suppliers.
  10. Airline Refund Procedures Refund policies and procedures for airlines vary. Refunds may take time to process, and certain conditions may apply.
  11. Complaints Notify suppliers immediately in case of issues during the trip. If dissatisfied, inform Blue Herol Travel Agency to address the matter.
  12. Passports, Visas, and Health Ensure valid passports, visas, and necessary vaccinations are obtained. Passports must be valid for 6 months after returning to South Africa.
  13. General Information Blue Herol Travel Agency will advise you of all mandatory taxes payable before departure. Special requests are not guaranteed. Inform us of any medical conditions at the time of booking.
  14. Force Majeure We are not liable for damage or loss caused by force majeure events beyond our control.
  15. Responsibility and Limitation of Liability Blue Herol Travel Agency acts as a booking agent and accepts no liability for any loss or damage resulting from travel arrangements.
  16. Jurisdiction of the Magistrate’s Court Legal proceedings related to this contract may be instituted in any Magistrate’s Court with jurisdiction.
  17. Protection of Personal Information By signing our Booking Form, you authorize Blue Herol Travel Agency to collect and process your Personal Information for travel requirements. We commit to adhering to data privacy regulations and use information solely for providing services.

Please take note that Blue Herol Travel Agency is not liable for any loss or damage caused by COVID-19, and adherence to Government regulations is the traveler’s responsibility.

  1. Visuals Unauthorized use of copyrighted visuals is prohibited without prior consent from Blue Herol Travel Agency or the supplier.
